Cancellation Policy
Midlands Mind Clinic
Overview
At Midlands Mind Clinic, appointments are reserved specifically for you and may involve preparation and dedicated clinical time. We understand that circumstances can change and that you may occasionally need to cancel or rearrange an appointment.
We ask that you provide as much notice as possible if you are unable to attend.
Cancelling or Rescheduling an Appointment
If you need to cancel or rearrange your appointment, please contact Midlands Mind Clinic by email at admin@midlandsmindclinic.co.uk.
The following cancellation terms apply:
2 or more working days' notice
No cancellation charge will apply. Any fee already paid can be refunded or transferred to a rearranged appointment.
Less than 2 working days' notice (but 24 hours or more)
50% of the appointment fee will be charged or retained.
Less than 24 hours' notice
The full appointment fee will be charged or retained.
Non-attendance
If you do not attend your appointment without prior notice, the full appointment fee will be charged or retained.
Rebooking after a late cancellation or non-attendance
Any cancellation charge is separate from the fee for a new appointment. If you would like to rebook, the full fee for the new appointment will apply. Where part of your original fee has not been retained, this can be put towards the new appointment, so you would only need to pay the balance.
Working days are Monday to Friday, excluding Bank Holidays.
For example, to avoid a cancellation charge for an appointment on Monday, notice would normally need to be received by the same time on the preceding Thursday.
ADHD and Autism Assessments
ADHD and autism assessments involve extended clinical time and may also involve reviewing questionnaires, developmental information, collateral information and other documentation before your appointment.
Where preparatory clinical work has already been undertaken before an assessment is cancelled, Midlands Mind Clinic reserves the right to retain a reasonable proportion of the assessment fee to reflect work already completed. Where applicable, we will explain any deduction made.
The cancellation terms above otherwise apply to assessment appointments.
Exceptional Circumstances
We recognise that unforeseen circumstances can occur. In exceptional circumstances, cancellation charges may be waived or reduced at the discretion of Midlands Mind Clinic.
Cancellation by Midlands Mind Clinic
On the rare occasion that Midlands Mind Clinic needs to cancel an appointment, you will be offered an alternative appointment or a full refund of the relevant appointment fee.
